2022 JCI EUROPEAN CONFERENCE

TERMS AND CONDITIONS

A. All delegates must pay the full registration fee before the deadlines.

B. The registration fee cannot be transferred to a different event, or used to pay any dues to JCI.

C. Registration will not be confirmed until the required registration fee and documentation have been received by JCI HQ.

D. This Conference is subject to a Force Majeure clause. By accepting the terms and conditions, you also accept said clause

 

An event of Force Majeure is an event or circumstance which is beyond the control and without the fault or negligence of the party affected and which by the exercise of reasonable diligence the party affected was unable to prevent provided that event or circumstance is limited to the following impediments:

(a) civil and or global conflicts that includes but is not limited to; war (whether war be declared or not), riot, invasion, act of foreign enemies, hostile acts of terrorism, civil war, rebellion, revolution, insurrection of military or usurped power, requisition or compulsory acquisition by any governmental or competent authority, changes in laws and regulations;

(b) outbreaks of infectious disease, pandemic, plague, epidemic, public health crisis, quarantine, national and or local government restrictions, travel restrictions, employee restrictions, curfew restrictions, or other restrictions related to safety measures;

(c) natural disasters or acts of God including but not limited to; earthquake, tornado, fire, volcanic activity, cyclone, typhoon, hurricane, tidal wave, tsunami, flood, landslide or other physical natural disasters, but excluding standard weather conditions that are not damaging or impede either party from fulfilling their contractual obligations;

(d) significant damage caused by but not limited to, the natural disasters or acts of God listed above in (c) and the following; lightning, drought, explosions, explosion fire, nationwide and or city blackouts and unforeseen acts of humankind;

(e) pressure waves caused by aircraft or other aerial devices travelling at sonic or supersonic speeds, ionizing radiation or contamination, radio activity from any nuclear fuel or from any nuclear waste from the combustion of nuclear fuel, radioactive toxic explosive or other hazardous properties of any explosive assembly or nuclear component;

(f) strikes at national level or industrial disputes at a national level, or strike or industrial disputes by labor not employed by the affected party, its subcontractors or its suppliers and which affect an essential portion of the works but excluding any industrial dispute which is specific to the performance of the works or this contract.”

Force Majeure Operative Clause

    1. Neither JCI nor the Host LOM is responsible for any failure to perform its obligations under this contract, if it is prevented or delayed in performing those obligations by an event of Force Majeure.
    2. Where there is an event of Force Majeure, the party prevented from or delayed in performing its obligations under this contract must immediately notify the other party giving full particulars of the event of Force Majeure and the reasons for the event of Force Majeure preventing that party from, or delaying that party in performing its obligations under this contract and that party must use its reasonable efforts to mitigate the effect of the event of Force Majeure upon its or their performance of the contract and to fulfil its or their obligations under the contract.
    3. Upon completion of the event of Force Majeure the party affected the Host LOM must as soon as reasonably practicably recommence the performance of its obligations under this contract. Where the party affected is the contractor (Host LOM), the contractor must provide a revised program rescheduling the works to minimize the effects of the prevention or delay caused by the event of Force Majeure.
    4. An event of Force Majeure does not relieve a party from liability for an obligation which arose before the occurrence of that event, nor does that event affect the obligation to pay money in a timely manner which matured prior to the occurrence of that event.
    5. The contractor has no entitlement and JCI has no liability for:
      1. any costs, losses, expenses, damages or the payment of any part of the contract price during an event of Force Majeure; and
      2. any delay costs in any way incurred by the contractor due to an event of Force Majeure.
    1. Where there is an event of Force Majeure, resulting in the full cancellation of the in-person event 2022 JCI European Conference the party affected the Host LOM agrees and commits to refunding delegates who have registered and paid and agreed upon percentage of the original amount the delegate paid. The percentage amount will be determined by the Host LOM, the COC and the JCI National President, and will be approved by the JCI President and the JCI Secretary General. The percentage amount will be determined no later than SIXTY DAYS prior to the event registration opening. Where the party affected is the contractor, the Host LOM, the contractor must be financially responsible, in full, for the entirety of each and every refund to be made to delegates. The contractor hereby renders the refund percentage to be:
      1. 75% (seventy five percent) of the total amount paid by the registrant.
        1. These refunds will be made through the event platform Cvent, which is managed by JCI, but in no way will the money be refunded by JCI. All the refunds and any other fees implicated in the refund process – may they come from Cvent or any other JCI Account – will be deducted from the final Financial Report and Agreement signed by both parties.
        2. A 5% administrative fee will be deducted from ALL refunds. Any wire transfer fees charged by the banks will also be deducted from the refund.
      1. In case that the in-person event is cancelled, a virtual event will take place.

Refunds

  • Up to the early registration deadline (December 10, 2021): 80% refund
  • Thereafter, up to February 28, 2022: 50% refund
  • Thereafter, up to March 28, 2022: 25% refund
  • Except for extraordinary circumstances involving illness or death of an immediate relative, in which case 75% of the registration fee will be refunded.
  • 50% refunds will be given to delegates who failed to get their Visa in time to attend the conference and notify JCI World Headquarters. Refund requests must be made no later than March 1, 2022. JCI will not entertain any requests for refunds due to Visa denial after March 1, 2022. All requests must be submitted to events@jci.cc. This request must include the notice of denial from the consulate or embassy. No refunds will be given onsite. Any refunds will be issued after all JCI Area Conferences and when the JCI Team returns to the Headquarters. Any appeals should be dealt with by the General Legal Council whose decision shall be final.
  • A 5% administrative fee will be deducted from ALL refunds. Any wire transfer fees charged by the banks will also be deducted from the refund.

 

Payment

A. For Credit Cards

All the credit card transactions will be processed in US Dollars. The amount processed by JCI is shown as the total in US Dollars. Fluctuation in exchange rates may impact payment amount and is based on the country of origin and local currency of the cardholder.  There might be some fluctuation in exchange rate differences depending on your country of origin and the local currency of the cardholder.

B. For Wire Transfers

Wire transfer instructions will be sent by email once you finish the registration process. If you have any questions, please feel free to contact events@jci.cc. The money must be wired within the respective deadline in order to be considered as such (Early/Regular/Late). Example: If the registration using the option Wire Transfer is marked during the Early Bird period, but the payment is not received before the Early Bird deadline, then the delegate will have to pay the amount of the then registration period.

Wire transfer payments are due at least 10 days prior to the Opening Ceremony. Wire transfer requests will not be processed after this deadline. After the deadline, members will be required to make payment at on site registration.

IMPORTANT: If paying by Wire Transfer, an additional $30 (thirty dollars) is due to cover administrative fees.

 

Visa Invitation Letter

An official invitation letter may be requested by visiting the Registration Confirmation page, clicking on Print Options and then Visa Invitation Letter. The confirmation is intended to facilitate participant’s travel and Visa arrangements only. The invitation letter will only be issued if the delegate’s registration has been paid in full. The invitation letter in no way implies the provision of any support, financial or otherwise.

Liability Disclaimer

JCI and the Conference Organizing Committee shall not be held responsible for personal accidents, illness, losses or damage to private property. Delegates are advised to arrange their personal insurance for the duration of the Conference and tours.

While every attempt will be made to ensure that all aspects of the Conference mentioned will take place as scheduled, the Conference Organizing Committee reserves the right to make last minute changes without prior notice should the need arise.

We reserve the right to modify these Terms and Conditions at any time and without notice to you or any of its users. We may add to, change, delete or end our or your use of the service at any time. The service may be temporarily unavailable from time to time for maintenance or other reasons.

No Smoking Policy

Smoking is not permitted at any official JCI event.

Attention Trainers & Sessions Chairpersons

Complimentary registration will not be provided for trainers. All trainers and sessions chairpersons must register at the applicable registration fee.
